H&S File: Below is a break down of how a D&T Health and Safety file can be set up.
1. Introduction & Contents - Layout of folder including contents list and page references.

2. Staff - Staff list of roles, responsibilities, certification and signed sheet to show that they have read and agree to use the files in the folder.

3. Equipment & Service Records - Records of equipment and service checks conducted by trained staff and outside agencies. I recommend that you get 3 quotes before choosing who services your machines each year. Also speak to other schools for references.

4. Personal Egress Plans - These can be downloaded as a template to personalise, they should be signed by subject staff in case of any specific assistance requirements in the case of evacuation.
5. H&S Policy D&T - This should be an overall statement for your department, it should be precise, relevant and not too much information. I would treat the file as a whole as being your 'policy'.
6. Specific Pupil Requirements - If you have pupils with specific needs, you may need to complete a risk assessment for your rooms or activities to ensure a safe learning environment. If the specific pupil has a support assistant you may want to get them and the school H&S Officer involved at this point. Get as much information about those pupils as possible in order to make any necessary changes to your lesson delivery, layout or access. Use other staff to gain as much advice possible.
7. Room Plans and Equipment - If you do not already have drawings of your workshop layout and positioning of equipment, why not try the Magic Plan App? You can scan your workshop and draw up initial 2d floor plans and then add equipment from their inventory list. Often, class sizes are an issue and it is essential that you have documentation to support any issue you wish to take up with senior management. Building Bulletin 103, allows you to calculate advised sizes for your rooms. In a single workshop space, guidelines suggest 104m2 for 24 pupils, this works out as 4.33m2 per pupil.

'There is often an assumption that because an issue is described as ‘advice’ or ‘not mandatory’ that employers and employees can regard them as ‘optional’ or indeed ignore them. Where a formal, written risk assessment has been carried out in accordance with HSE and other professional requirements, proper regard and action needs to be taken as appropriate to the level of risk identified. Should an employer or employee fail to do what is reasonably practicable and an accident or incident occur which may be found to be partially or wholly contributory to any injury sustained, they may be found culpable.' |

8. RA's & SSoW - Risk Assessments should be completed for each machine in the workshop and personalised for your school with images of your equipment. RA's can be downloaded from CLEAPSS but you may need to contact your H&S Officer to get a username and password. It is useful to download the PDFs and to name them for their specific purpose. This makes them a lot easier to locate and to link into SOWs for future reference.

9. COSHH - Control Of Substances that are Hazardous to Health: Substances must be stored in a locked metal cabinet and the Head of department & technician should have an inventory of contents. Download an 3262 from CLEAPPS.
10. Incident Reports - Know who your first aid trained staff are and make sure that a list of these staff is on display in all rooms. If any incidents occur, make sure that the trained member of staff deals with the situation and that an accident report is filled in full detail and signed by those who witnessed it. Copies of any incident reports should be kept in case the situation is looked at in any greater depth.
